Coastal Five – Entry Policies

These policies explain how refunds, transfers, and entry changes are managed for Coastal Five. Please read this information carefully before entering.

If Your Plans Change
If your plans change after entering, the options below may be available.

Refund Policy
If you are unable to participate in Coastal Five, you may request a partial refund before the deadlines below.

Refunds must be requested by emailing info@coastalfive.co.nz.
Refund percentages reflect event administration and registration costs already incurred.
Approved refunds will be processed within 30 business days.
After the refund deadline, participants may still transfer their entry to another runner through Race Roster until midnight on 10 November 2026.
Distance Transfers
Participants may change their event distance through their Race Roster account until:
Midnight – 10 November 2026
Distance transfer rules:

Upgrading requires payment of the price difference

Downgrading to a shorter distance does not receive a refund

Transfers are subject to availability
After this deadline, distance changes cannot be made.
Transfer Your Entry to Another Runner
If you can no longer participate, you may transfer your entry to another participant.
Many runners choose this option if they cannot attend, as it allows them to recover the cost of their entry directly from the new participant.
Transfers must be completed through the Race Roster system by:
Midnight – 10 November 2026
Important notes:

Transfers must remain within the same distance event

The original entrant must initiate the transfer

The new participant must complete their registration details
Any transfer fees charged by the registration platform are the responsibility of the participants.
Deferring Your Entry to the 2027 Event
If you cannot attend and are unable to transfer your entry, you may request to defer your entry to the 2027 Coastal Five event.
Deferral requests must be submitted to info@coastalfive.co.nz by:
Midnight – 10 November 2026
Because deferrals are processed manually by the event team, a $10 administration fee applies.
Once the administration fee has been paid, your entry will be transferred to the 2027 event.
Deferrals can only be requested once per entry.
Event Cancellation or Changes
Coastal Five may be cancelled, delayed, or modified due to circumstances beyond the organisers’ control. These may include:

Severe weather

Natural disasters

Public safety concerns

Government restrictions

Road closure limitations
If the event must be cancelled or postponed due to circumstances beyond the organisers’ control, entry fees are non-refundable.
Where possible, the organisers may offer options such as entry rollover or credit toward a future event, but this cannot be guaranteed.
Participant Responsibility
Running events involve inherent risks. By entering Coastal Five, participants acknowledge that they:

Are medically fit to participate

Will follow event instructions and safety directions

Will respect volunteers, officials, and other participants
Participants must follow safety directions, particularly on sections that use open or shared roads.
